This Privacy Policy describes the information A.J. LeBlanc Heating, Inc. collects through leblanchvac.com and any subdomain, how that information is used and disclosed, and the choices available to you.
1. Who we are
A.J. LeBlanc Heating, Inc. (A.J. LeBlanc Heating, we, us, or our) is a residential HVAC, plumbing, and electrical contractor headquartered at 45 South River Road, Bedford, NH 03110. We operate the website at leblanchvac.com and its subdomains and provide services across Southern New Hampshire. This Privacy Policy explains how we handle information about visitors to the website and customers who contact us through it.
2. Information we collect
Information you give us directly
When you fill out a form on our website, we collect the information you enter. Depending on the form, that may include:
- Name, phone number, email address, mailing or service address, city, and ZIP code
- The type of service you are interested in (heating, cooling, plumbing, electrical, generator, water treatment, etc.) and any details you share in the message field
- Home information you choose to share, such as approximate square footage, household size, primary heating fuel, equipment age, or whether you have a recent water test
- Annual household income range (only on the Weatherization Prequalifier, to determine whether you may qualify for NHSaves Home Energy Assistance), never your exact income or social security number
- Resume and employment history if you apply for a job through our Careers page
- Customer review text if you submit a review through our Reviews page
- Email address if you opt in to our discounts / promotions list
- Whether your household is currently enrolled in LIHEAP, SNAP, Medicaid, SSI, Fuel Assistance, or a utility low-income rate (asked only on the Weatherization Prequalifier to check eligibility for income-enhanced NHSaves benefits, and only shared with our NHSaves partner TurnCycle Solutions)
Information collected automatically
When you visit our website, certain information is collected automatically by your browser or by services running on the page:
- IP address, approximate location (city/region), browser type, device type, operating system, and screen size
- Pages you visit, links you click, time on page, and the page that referred you to us
- UTM campaign parameters and Google click IDs (gclid) from advertising links
- The landing page you first arrived on (stored in your browser session so we can attribute leads correctly)
3. How we use your information
We use the information you give us to:
- Respond to your inquiry and provide an estimate or schedule a service visit
- Match you with the right person in our office (heating, plumbing, electrical, water treatment, or generators) so you do not have to repeat yourself
- Prepare quotes and, where the rebate program allows, help you fill out and submit NHSaves and federal tax credit rebate paperwork after your invoice is paid. For weatherization referrals, share the relevant project details with TurnCycle Solutions when applicable.
- Send you transactional messages: appointment confirmations, on-the-way notifications, invoices, and follow-up service reminders
- Send promotional emails only if you opt in through our discounts or deals page
- Improve our website, measure the effectiveness of our advertising, and identify pages that need work
- Detect and block spam, fraud, and abuse of our contact forms
- Comply with our legal and tax obligations
4. Third-party services we use
We use the following service providers to operate our website and business. Each may process some of your information on our behalf:
Hosting and security
- Liquid Web: hosts our website servers in the United States.
- Cloudflare: provides content delivery, DDoS protection, and basic bot filtering. Cloudflare logs IP addresses and request metadata for security purposes.
- Microsoft 365 (Microsoft Graph API): sends transactional and administrative emails from [email protected] (form submissions, confirmations, internal notifications).
- Constant Contact: hosts our promotional/deals email list. You only end up on this list if you explicitly opt in on our Deals page. Every promotional email includes a one-click unsubscribe link.
Analytics and advertising
- Google Analytics 4: measures site traffic and user behavior in aggregate. We do not send personally identifiable information (name, email, phone) to Google Analytics.
- Google Ads: tracks ad-driven conversions (form submissions, phone clicks) so we can measure return on ad spend.
Form protection
- Google reCAPTCHA v3: invisibly evaluates form submissions to block automated spam. Google's reCAPTCHA is subject to the Google Privacy Policy and Terms of Service.
Scheduling and dispatch
- FieldEdge: our field service management platform. If you use the online scheduling button on our site, your appointment is created in FieldEdge so our office and technicians can manage it. FieldEdge is the system of record for your customer file (job history, invoices, equipment installed).
Partners and subcontractors with whom we may share information
- TurnCycle Solutions: an authorized NHSaves Home Energy Assistance contractor we work with on weatherization projects. If you submit the Weatherization Prequalifier on our site, we share your contact information and home details with TurnCycle so they can determine your eligibility and follow up. We will not share weatherization leads with anyone else.
- Other subcontractors: occasionally we may share limited information (your name, address, and the work needed) with a licensed subcontractor performing part of a job for us. They are bound by their own professional licensing and privacy obligations.
5. Cookies and tracking
Our website uses cookies and similar browser storage technologies for the following purposes:
- Strictly necessary: PHP session cookies that keep the contact form from re-submitting on page refresh.
- Lead attribution: browser session storage that remembers which page you landed on and what marketing campaign brought you (UTM tags, Google click ID). This information is included in the form data sent to our office when you submit a form, so we know which ads work.
- Analytics: Google Analytics sets cookies that count return visits and group page views into sessions.
- Advertising: Google Ads sets cookies to attribute conversions to specific ads and audiences.
- Security: Cloudflare and reCAPTCHA set cookies used to filter bot traffic and spam.
You can clear cookies, block third-party cookies, or use private/incognito browsing in your browser at any time. The site will still work, but some attribution and convenience features may behave differently.
6. Email marketing
We send two kinds of email:
- Transactional email: confirmations, invoices, appointment reminders, and direct replies to your inquiries. These are sent based on your business relationship with us and continue regardless of marketing preferences.
- Promotional email: occasional deals, seasonal tune-up reminders, and rebate program announcements. We only send these to people who explicitly opt in by entering their email on our Deals page. Every promotional email includes a one-click unsubscribe link.
Promotional emails sent through Constant Contact include open and click tracking (a small invisible image that loads when you open the email, and tracked links). We use this only to understand which emails are useful and which to retire. We do not use email engagement data to build advertising profiles.
To unsubscribe from promotional email at any time, click the unsubscribe link in any email we sent you, visit leblanchvac.com/unsubscribe, or email [email protected] and ask to be removed.
7. Text messages (SMS) and call recordings
A.J. LeBlanc Heating offers SMS text messaging to customers who opt in. All text messages we send are transactional and relate to your service: emergency dispatch updates, appointment confirmations, on-the-way notifications, schedule changes, and direct replies from the technician on call or our office. We do not send marketing or promotional text messages.
You opt in to these messages by checking the SMS consent box on a form, such as our emergency request form, or by asking us to text you. Providing this consent is not a condition of any purchase.
Message frequency varies based on your interaction with us. Message and data rates may apply from your mobile carrier. To stop messages at any time, reply STOP to any text from us; we will send a single confirmation and then no further texts. For help, reply HELP or call our office at 603-623-0412. Opting out of texts does not opt you out of phone calls, voicemails, or email.
We do not sell, rent, or share your mobile phone number, SMS opt-in information, or messaging consent with any third party or affiliate for their own marketing or promotional purposes. The fact that you gave us your number to text, and what you agreed to receive, is never shared with anyone outside A.J. LeBlanc Heating. The limited service providers that help us run the messaging program (such as our SMS carrier and our dispatch software) only process this information to deliver our own messages on our behalf, and may not use it for any other purpose.
Call recordings
We may record incoming phone calls to our office for training and quality assurance. If you call us, you consent to that recording. Recordings are accessible only to authorized A.J. LeBlanc Heating staff.
8. How we share information
We do not sell or rent your personal information to anyone. We never share mobile phone numbers, SMS opt-in information, or text-messaging consent with any third party or affiliate for their own marketing or promotional purposes. None of the sharing described below includes your SMS opt-in or consent data. We share other information only in the limited ways described above (Section 4) and in the following situations:
- Internally, with the members of our office and field team who need it to schedule, quote, perform, and invoice your work.
- With service providers listed in Section 4, strictly to operate the services we have hired them for.
- With rebate and utility programs (NHSaves, Eversource, Liberty, Unitil, IRS, NH DOE), when helping you complete or submit rebate or tax credit paperwork and only with the information needed for that filing.
- When legally required: in response to a valid subpoena, court order, regulatory request, or to investigate suspected fraud or threats to safety.
- In a business transaction: if A.J. LeBlanc Heating, Inc. is ever sold or merged, customer records would transfer to the successor with the same protections described here.
9. How long we keep information
We keep customer job records, invoices, and equipment installation history for as long as we are doing business with you, plus the time required by tax and warranty obligations (typically seven years for financial records, and the full life of installed equipment for warranty service).
Website analytics data is retained according to Google's defaults (currently 14 months for GA4 event data). Marketing opt-in lists are kept until you unsubscribe or ask to be removed.
10. Your rights and choices
You have the right to:
- Ask what we have: request a copy of the personal information we hold about you.
- Correct it: ask us to update inaccurate or out-of-date information.
- Delete it: ask us to delete your information, subject to records we are legally required to retain (e.g., paid invoices for tax purposes).
- Opt out of marketing: unsubscribe from promotional email or SMS at any time as described in Sections 6 and 7.
- Opt out of analytics: install the Google Analytics opt-out browser add-on if you want Google to stop collecting analytics from your visits to any site.
To exercise any of these rights, email [email protected] with the request. We will respond within 30 days. There is no charge for reasonable requests.
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right not to be discriminated against for exercising your privacy rights. The same email address above is the way to make CCPA requests.
11. Children's privacy
Our services are intended for homeowners and other adults arranging work on their property. We do not knowingly collect personal information from children under 13. If you believe a child has submitted information through our site, please email [email protected] and we will delete it.
12. Security
We maintain administrative, technical, and physical safeguards designed to protect personal information, including:
- Forms submit over HTTPS only (the URL bar shows the padlock).
- Customer records, invoices, and job history are stored in FieldEdge with role-based access for our staff.
- Email integrations (Microsoft 365, Constant Contact) use OAuth and signed API tokens, not stored passwords.
- Unsubscribe links use a per-recipient HMAC signature so that a random visitor cannot unsubscribe arbitrary email addresses.
- Our web server is hardened against common attacks and sits behind Cloudflare.
No method of transmission over the internet or method of electronic storage is completely secure. While we take reasonable measures to safeguard your information, we cannot guarantee its absolute security. If a security breach affects your personal information, we will provide notice as required by applicable New Hampshire and federal law.
13. Changes to this policy
We may update this policy from time to time as our tools, services, or legal obligations change. The effective date at the top of this page tells you when the current version was published. Material changes will be highlighted on the site for a reasonable period after they take effect.
